ATS-Friendly Resume: How to Write One a System Can Read

An applicant tracking system (ATS) is software employers use to collect, store and search job applications. It pulls the text out of your resume and sorts it into fields such as name, job titles, dates and skills. An ATS-friendly resume uses a single column, standard headings, a common font, the same keywords as the job post, and a text-based PDF or Word file, so that nothing gets lost when the text is extracted.
What an applicant tracking system is
When you apply through a company careers page or a job portal, your resume usually goes into a database, not directly into someone's inbox. That database is the ATS. Recruiters use it to post jobs, keep every application in one place, move candidates through stages, and search for people by keyword.
Large employers, BPO companies, banks and multinational firms commonly use one. A small business that asks you to email your resume may not. Since you often cannot tell from the outside, it is safest to write every resume so that software can read it.
One point that often gets exaggerated: what happens after your resume is read depends on the employer and the system. Some rank or filter applicants using screening questions and keywords. In others, a recruiter simply searches and reads. In both cases a resume that is parsed correctly is easier to find and easier to review.
How an ATS reads your resume
- It extracts the raw text from your file, generally from top to bottom and left to right.
- It looks for familiar headings to work out where each section starts.
- It fills in fields: contact details, employers, job titles, dates, schools, skills.
- It stores the result so recruiters can search and filter it.
Problems begin at step one. If your layout confuses the text extraction, the wrong words land in the wrong fields, or do not land anywhere. Here is what a two-column design can turn into:

The lines from both columns are merged, so skills end up mixed into the job entry. A single column avoids this.
Use standard section headings
Software matches headings against names it already knows. Creative labels are a risk.

Stick to these: Summary, Work Experience (or Experience), Education, Skills, Certifications, Licenses, Trainings, Awards. Put each heading on its own line, in bold or slightly larger text.
Keep the layout simple
- One column, read top to bottom.
- No tables or text boxes for your main content. The text inside may come out in the wrong order or be skipped.
- No important details in the header or footer of the document. Type your name and contact details in the body of the page.
- No text inside images. Logos, icons and infographic-style skill bars are not read as text. A five-star rating for Excel tells the software nothing.
- Plain bullets, such as round dots or hyphens, rather than decorative symbols.
- Consistent dates, written the same way throughout, for example June 2022 to Present.
Simple does not have to mean ugly. Clear headings, even spacing and one accent color are enough. Our resume templates include ATS-friendly layouts, so you do not have to set this up by hand.
Choose common fonts and plain formatting
- Use a widely available font: Arial, Calibri, Helvetica, Georgia or Times New Roman.
- Keep body text at 10 to 12 points and headings a little larger.
- Bold and italics are fine. Avoid text that is very light gray or squeezed with tight letter spacing.
- Spell out an abbreviation once alongside its short form, such as Certified Public Accountant (CPA), so both versions can be found in a search.
Use the keywords from the job post
Keywords are the words a recruiter would type into a search box to find someone like you: job titles, tools, skills, licenses and industry terms. The best source is the job post itself.
- Highlight the nouns in the post: tools (SAP, Zendesk), skills (accounts payable, lead generation), qualifications (PRC license, NC II).
- Check which of those are honestly true for you.
- Use their exact wording in your summary, in your experience bullets and in your skills section.
Job post says: "Experience in accounts payable, bank reconciliation and BIR tax compliance. Proficient in QuickBooks."
Your bullet: Handle accounts payable for 80 suppliers and prepare monthly bank reconciliation for 5 accounts in QuickBooks.
Your bullet: Prepare schedules and supporting documents for BIR tax compliance each month and quarter.
Your skills: Accounts payable, Bank reconciliation, BIR tax compliance, QuickBooks, MS Excel
Never paste a block of keywords in white text or list skills you do not have. Hidden text becomes visible once the resume is parsed, and a recruiter will ask about anything you list. Use a keyword only where it describes something you have really done.

Save it in the right file type
- Upload a PDF or .docx file, whichever the application form says it accepts. If it names one, use that one.
- Make sure the PDF is text-based: export it from your editor instead of scanning a printout. A quick test is to open the file and try to select a sentence with your cursor. If you cannot highlight the words, it is an image.
- Do not upload JPG or PNG files of your resume.
- Name the file plainly, for example Dizon-Paolo-Accountant.pdf.
How to check your resume before you apply
- Select all the text in your PDF, copy it, and paste it into a blank note. If the order is jumbled or parts are missing, software will have the same trouble.
- Compare your resume with the job post and confirm the main requirements appear in your own words and theirs.

What does ATS-friendly resume mean?+

Can an ATS read a PDF resume?+
Text-based PDFs exported from a word processor or resume builder are generally readable. Scanned or photographed resumes are images and usually cannot be read, and if an application form asks for Word format, send that instead.
Are two-column resumes bad for ATS?+
They carry more risk. Some systems read across both columns line by line and mix the content together, so a single-column layout is the safer choice.
Can I use a Canva resume for online applications?+
It depends on the design. Templates with multiple columns, icons, skill bars and text placed inside shapes may not be read correctly, so test by copying the text out of the exported PDF and checking that it is complete and in order.
